Setting a marketplace channel / From previous to new platform

Marketplace feeds have two topics to be taken into account:
products and offers feed setting & orders management.

Orders management settings depend the way you want to retrieve and manage orders:

  • In the Lengow dashboard
  • In your e-commerce back-office through a Lengow plugin
  • In your e-commerce back-office through the Lengow API

Select the option through the "Order Management" button below to find out what you have to do.

Marketplaces do not all function the same way. Some may switch all at once from previous to new platform, some other not.

That's why we share with you the most suitable process to move each of them to the new Lengow platform, through the "Products & offers feed migration" button below.

Orders management

Adjustments may be required for your orders management, depending on the system you are using.

Points you need to know before using Orders dashboard in the new Lengow platform:

  • By default, in the new platform, Lengow retrieves orders created or updated in the last 5 days.
  • If the marketplace feed is active in both previous and new platform at the same time, orders will be imported in both platforms.

This article is for you if: 

  • You want to carry over one or more marketplace feeds into the new platform.

What to do in Lengow?

The steps for setting up a marketplaces feed in the new platform are still the same, but some actions may be required around this setup. 
Select the channel you wish to transfer from the previous to the new platform below, to find out what steps to take. 

If you have the opportunity, first set up an acquisition feed from the previous to the new Lengow platform, before setting a marketplace feed.
Why?  Acquisition feeds have less specificities to be taken into account.   
We strongly advise you to migrate your marketplaces feeds channel by channel.

To allow you to keep the products history for products which get zero stock, please enable the "out of stock" option in your eBay account.
How to do so?
  • Go to "My eBay" > "Account" > "Site Preferences" or "Seller Hub" > "Overview" > "Shortcuts" > "Site Preferences".
  • In the "Selling Preferences" section, click "Show" next to "Sell Your Item form and listings".
  • Click "edit" next to "Use the out-of-stock option".
  • Make your selection and click "Submit".  
Then you can start the switch process in Lengow:
Eprice

Spartoo
For this marketplace you may distribute your products on a single country, or on multi-country. 
If you are in the latter case, please read the next step before going to the migration method.

If you are not distributing your products on multi-countries, skip "Multi-country distribution with Spartoo" step and start reading from "B Method / Full move at once ..." below.

Multi-country distribution with Spartoo

Please note that Sparto requests a single feed when you sell on multiple countries. To match that need, we gather your Spartoo different feeds into one single feed to send you products information.

The first Spartoo feed you create and activate in Lengow is considered as the "Master feed". This feed'll be the one that'll serve as the basis to integrate products on Spartoo. It is important that this country feed match with the reference country on your Contract with Spartoo. If you don't know which is the reference contract, please contact your Spartoo account manager.

Also, it is important to do the whole set up for this "master feed".

For other "countries feeds", only a partial set up is requested. More information on the Attributes Matching step.

If the first activated feed doesn't match with the reference feed, please contact us to do the change.
Categories Matching on "countries feeds" isn't necessary, since categories from the "master feed" will be the one sent to Spartoo.      

To sum this up, you must therefore:

A >> Add the channel "Spartoo" whose country corresponds to your contract reference. This will be your "master feed".
B >> Add the "Spartoo" channel for another country. This will be your "Country Feed".
C >> Repeat step B, for each additional country.
D >> Fully set up the Master Feed AND set the country feed(s) up partially (as indicated in the guide).
E >> On D-day, add the API IDs on the master feed and on the other country feed(s) in the same time frame.

Refer to the marketplace list above to know which method is suitable.

A Method / Product sample

Step 1: Set up the feed on the new platform

Refer to the marketplace guide here, and follow steps until "Preview your data" included.

DO NOT FILL IN YOUR MARKETPLACE CREDENTIALS IN LENGOW YET.

Then follow steps below.

Keep in mind, once you made settings, you'll have to report on that feed any new settings you would do on the previous feed, until you reach step 7.
Step 2: Exclude products

Remaining on the new platform, exclude products so that only a products selection will be available in the optimised feed to be sent to the channel.

At this step, the feed is still in "Draft" status in the new Lengow platform. It is really important to register this exclusion before you realise the step 4.
Step 3: Remove the same products from the previous platform

Back in the previous platform, remove from the optimised feed the same products as the ones which are about to be sent through the new platform.

To do so, you can use the Segmentation or unpublish them thanks to a rule defining 0 (zero) for the quantity.
Step 4: In the new platform, fill in API ID

Back in the new platform, at the "Settings" step, fill in connection identifiers in order to connect this new feed with the marketplace.

Identifiers may be different from a channel to the other. Please refer to the marketplace guide, step "Configure your Options" for more information.
Step 5: Check errors report

Remaining on the new platform, make sure the first products you send to the marketplaces are ok.

Please check errors report in Lengow and make change in marketplace settings on the new platform if required.
Each marketplace has its own errors. Please refer to the step "Read Integration Reports" in the marketplace channel's guide.
Step 6: Repeat steps 2 to 5

Once errors disappeared from reports, repeat steps 2, 3 and 5 to gradually increase the number of products displayed through the new platform.

When all your products are displayed through the new feed, the optimised feed from the previous platform should be empty.
As this moment, go to "Step 7" below.
Step 7: Inform Lengow

When your products will be displayed via the new Lengow platform, go back to the previous version of your account (solution.lengow.com) and deactivate the channel.

Then inform Lengow Support or your Lengow account manager that you have performed this action.

B Method / Full move at once (optimised feed via url or webservices)

Step 1: Contact the marketplace
Contact your marketplace account manager, to inform him.her you are about to switch from the previous to the new Lengow platform, therefore the feed you are sending to the marketplace will change.
Actions may be required on his.her side.

Plan together the best time to make this change and define together the day to make this switch. The responsiveness of the marketplace will be important for this action.

Step 2 will have to be complete to make the switch possible. 
Step 2: Set up the feed on the new platform
Refer to the marketplace guide here, and follow steps until "Preview your data" included.  
Then follow steps below.
Keep in mind, once you made settings, you'll have to report on that feed any new settings you would do on the previous feed, until you reach step 5.
Step 3: In the new platform, fill in API ID
On the day agreed with your channel account manager:
In the new platform, at the "Settings" step for the channel, fill in connection identifiers in order to allow the connection to this new feed for the marketplace.  
If a url is provided at the "Launch" step in Lengow. You will need it for the step 4 that follows.
If the url is not available in Lengow, it means that the channel will retrieve your data via API.
Identifiers may be different from a channel to the other. Please refer to the marketplace guide, step "Configure your Options" for more information.  
Carry out step 4 and 5 immediately afterwards.
Step 4: Deactivate the feed in the previous platform
Deactivate the channel in the previous platform and inform Lengow Support or your Lengow account manager that you have performed this action.
Don't miss this step since it has effects on invoicing.
Step 5: Inform the marketplace about the change
Depending on the marketplace, you may have to send the new optimised url to your channel account manager or inform him.her you made the connection on the new platform.
S.he will then make the necessary change on his/her side so that this new data source replaces the one from your previous Lengow account.
Step 6: Check errors report
On the new platform, make sure the first products you send to the marketplaces are ok.
Please check errors report in Lengow and make change in marketplace settings on the new platform if required.

Process C for La Redoute / Full move at once (via API)

Step 1: Set up the feed on the new platform

Then follow steps below.
Keep in mind, once you made settings, you'll have to report on that feed any new settings you would do on the previous feed, until you reach step 3.
Orders on La Redoute / Warning while switching

 

All orders can't be automatically retrieved on the new Lengow platform.

Contact Lengow Support (before, during or after the migration) to commuicate over which period orders should be retrieved from the new Lengow platform in order to be able to make refunds.    
Step 2: In the new platform, fill in API ID
In the new platform, at the "Settings" step, fill in connexion identifiers in order to connect this new feed with the marketplace.    
Identifiers may be different from a channel to the other. Please refer to the marketplace guide, step "Configure your Options" for more information.      
 Carry out step 3 immediately afterwards.  
Step 3: Deactivate the feed in the previous platform

When your products will be displayed via the new Lengow platform, go back to the previous version of your account (solution.lengow.com) and deactivate the channel.
