WooCommerce - Manage your orders

Order management

In this section, you'll find three tabs:

  • "Overview": Here you can view orders from your Lengow account.
  • "Settings": All import parameters for Lengow orders.
  • "Carrier settings": Delivery methods and the mapping of shipping methods and carriers by marketplace.

  Note

  • Orders are imported only once their status has become "Waiting for shipment".
  • As the import of an order into the Lengow plugin causes a decrement of stock for the product ordered, no import is made at the status "cancelled" and "refunded".
  • Once the order is imported, it will no longer be synchronised with the plugin.
  • Refund actions are NOT possible from the WooCommerce plugin, even if the marketplace allows them. Any order refund must be processed directly from your Lengow account or via our API.

Overview Tab

For each order imported from Lengow, a Lengow Order Block is available with detailed order information and key actions:

Available Actions

  • Re-import the Order
Creates a new order while marking the current one with a Lengow technical error. This does not impact stock levels.
  • Resend the Action
Sends an updated order status to Lengow.
Useful for fixing import errors, such as when a tracking number was missing but has now been added.
  • Re-synchronise the Order
Re-establishes the link between the WooCommerce order ID and the Lengow order ID.

Checking your marketplace orders

In the plugin, you can track the status of your marketplace orders and verify:

  • Whether the order was successfully imported into WooCommerce
  • The current status of your orders (In Progress or Closed)

Handling Import and Shipping Errors

  • "Not Imported" Orders
If an order fails to import into WooCommerce, it will be labelled "Not Imported".
    • Hover over the message to view the issue.
    • Fix the issue and click "Not Imported" to retry the import.
  • "Not Shipped" Orders
If you manually change an order status to "Shipped" in WooCommerce, but an issue prevents the marketplace from updating the status (e.g. missing tracking number), a "Not Shipped" message will appear.
    • Fix the issue and click "Not Shipped" to reprocess the order.

Order Settings Tab

In the Order Parameters section, you can configure various settings related to order management. Below are the available options:

Order Status Mapping

The Lengow plugin allows you to match order statuses from marketplaces with WooCommerce order statuses using status mapping.

Orders Import

You can configure the following settings for order synchronisation:

  • Synchronisation Period (Days)
Define the maximum number of days for which the plugin synchronises orders.
    • If the last synchronisation was recent (e.g. an hour ago), only the most recent orders will be retrieved.
    • If the last synchronisation was several days ago, the plugin will sync all orders from the last set number of days.
    • Recommended setting: 3 days.
  • Import Orders Dispatched by Marketplaces
Enable this option to import orders fulfilled by marketplaces. If applicable, this setting can also update your WooCommerce stock based on marketplace order dispatches.
  • Anonymise customers' email addresses
Choose the desired type of anonymisation: encrypted or plaintext.

Currency Conversion

All imported orders in WooCommerce will automatically be converted to the currency selected in Lengow.

Import B2B Orders Without Taxes

Activate this option to remove taxes from imported B2B orders.
By default, this option is disabled.

Carrier Settings Tab

The carrier settings tab allows you to configure how shipping methods and carriers are assigned to orders imported from different marketplaces. Proper setup ensures that orders are processed correctly and comply with marketplace shipping requirements.

Default shipping method

Select a default shipping method that applies to all orders, regardless of the marketplace.
A drop-down menu lists the available shipping methods.

Mapping delivery methods by marketplaces

Ensure that marketplace shipping methods are correctly mapped to your WooCommerce delivery methods. This guarantees that each imported order is assigned the right shipping method automatically.

For each marketplace you sell on, you can:

  • Set a default delivery method for all orders.
  • Map each shipping method of the marketplace to a specific WooCommerce delivery method.

If a shipping method from the marketplace is matched, it takes priority. Otherwise, the marketplace's default shipping method is used. If no specific configuration is set, a general default method is applied.

Mapping of carrier by Marketplace

Ensure your WooCommerce shipping methods are correctly mapped to the carriers expected by different marketplaces. Proper mapping prevents order rejections due to incorrect carrier formats.

For each marketplace you sell on, you can:

  • Set a default carrier mapping: Automatically assigns a general carrier to match the marketplace's default delivery method.
  • Use advanced carrier mapping: Allows you to map each of your WooCommerce shipping methods to a specific marketplace carrier.
